Shipping & Delivery

All merchandise is normally shipped from our warehouse within 3 business days of receiving your order and delivered to customers within 10 days (excluding holidays, weekends, and tournament season). If the order was received over a weekend or holiday, it will be shipped within 3 of the next business days. If an item is on backorder you will be notified.

We offer shipping options to meet your needs. Please refer to the chart below for shipping costs:

We ship within the United States. For shipping information on addresses outside the United States, please call customer service at 317-356-6284 Monday - Friday 10:00 a.m. to 3:00 p.m. Eastern Time.

Please note that Expedited Shipping may not be available for certain locations, nor can some items be shipped to a Post Office Box or an APO/FPO address.

Registration 

In order to use this Web site, we request certain personally identifiable information from you on the registration form.  During registration you are required to give contact information (such as name and email address).  The Pentathlon Institute is the sole owner of the information collected on this site.


Orders 

If you purchase a product or service from us, we request certain personally identifiable information from you on our order form. You must provide contact information (such as name, email, phone number, and shipping address) and financial information (such as credit card number, expiration date, and 3 digit code). 

We use this information for billing purposes and to fill your orders.  If we have trouble processing an order, we will use this information to contact you.


Periodic Communications 

If you wish to subscribe to our periodic communications, we will use your name and email address to send the newsletter to you.  Out of respect for your privacy, we provide you a way to unsubscribe.  Please see the “Choice and Opt-out” section.

The Pentathlon Institute does not share, sell, rent, or trade personal information with third parties other than as described within this privacy policy. 


Agents/Service Providers  

We use other third parties such as a shipping company to fulfill orders, and a credit card processing company to bill you for goods and services.  The information collected is governed by our third party service provider’s privacy policy. We will share the personal information that is necessary for the third party to provide that service. 

These third parties are prohibited from using your personally identifiable information for promotional purposes.

We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or comply with a judicial proceeding, court order, or legal process served on our Web site.


Cookies                                                                       

A cookie is a small text file that is stored on a user’s computer for record-keeping purposes. We use cookies on this site. We do not link the information we store in cookies to any personally identifiable information you submit while on our site. 

We use both session ID cookies and/or persistent cookies. A session ID cookie expires when you close your browser. We use session cookies to record session information such as items that you have stored in your shopping card, record user-specific information on what pages user’s access or visit and to customize web page content based on visitors' browser type or other information that the visitor sends.

A persistent cookie remains on your hard drive for an extended period of time. You can remove persistent cookies by following directions provided in your Internet browser’s “help” file.

We set a persistent cookie to store your passwords, so you don’t have to enter it more than once.  Persistent cookies also enable us to track and target the interests of our users to enhance the experience on our site. 

If you reject cookies, you may still use our site but you may not be able to add items to your shopping cart and continue shopping without allowing cookies to be set while you are on the site. 


Third Party Cookies 

Our privacy statement does not cover the use of cookies by third parties.  We do not have access or control over these cookies. These third parties use session ID cookies to make it easier for you to navigate on our site, in order for you to use the shopping cart. 

Upon request we provide site visitors with access to unique identifier information (e.g., customer name, number, or password) that we maintain about them, transaction information (e.g., dates on which customers made purchases, amounts and types of purchases), and communications that the consumer/visitor has directed to our site (e.g., e-mails, customer inquiries).


Updating or Correcting Personally Identifiable Information 

If your personally identifiable information changes, or if you no longer desire our service, you may correct or update it by making the change within the “My Account” page on the site.

With respect to security: When we transfer and receive certain types of sensitive information such as financial information (credit card number and Tax ID), we redirect visitors to a secure server and will notify visitors through a pop-up screen on our site.  We have appropriate security measures in place in our physical facilities to protect against the loss, misuse or alteration of information that we have collected from you at our site.

We follow generally accepted industry standards to protect the personally identifiable information submitted to us, both during transmission and once we receive it.  No method of transmission over the Internet, or method of electronic storage, is 100% secure, however.  Therefore, while we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.

Customer Reviews 

We post customer reviews on our web site, which may contain personally identifiable information.  We do obtain the customer's consent via email prior to posting the review to post their name along with their review.


Choice/Opt-out 

If you no longer wish to receive our periodic communications, you may opt-out of receiving them by following the instructions included in each newsletter.  You may also Opt-In or Opt-Out at any time by signing into your account, going to your account dashboard, selecting Edit under newsletters, and checking or unchecking the general subscription box.

Returns & Replacements

Refunds Or Credits On Purchases
Since the Pentathlon Institute is a Not-For Profit Educational Organization and staffed by a small number of workers and volunteers our return policy is as follows.

A customer may return materials under the following conditions:

1.     The materials must be returned with 14 days after receiving the materials

2.     The materials must be in brand-new condition

3.     The customer bares ALL costs of the return

4.     A 30% restocking fee will be applied to the customer’s credit card.

Exchanges If a customer purchases the wrong item for the age group they are working with, call 317-356-6284 for complete exchange directions.  The items must be in perfect condition, the customer is responsible for return shipping and shipping of the replacement.  All merchandise must be in original boxes, include all original packaging and merchandise materials, and must be in brand new, resalable condition.

Incorrect Shipment
NOTIFY US IMMEDIATELY AT 317-356-6284.  The Pentathlon Institute takes pride in packing and shipping all orders in a timely manner.  If you receive your package and it does not match your invoice we will pay for the return shipping cost and expedite the shipping of the invoiced order.

Incomplete Orders
NOTIFY US IMMEDIATELY AT 317-356-6284.
  NOTE: SHORTAGE OR DAMAGED ITEMS MUST BE REPORTED TO 317-356-6284 WITHIN 10 DAYS OF RECEIVING YOUR PRODUCT.

Damaged Merchandise
If your shipment has been damaged in shipping, notify the SHIPPING COMPANY immediately. Let the shipping company know that your package arrived damaged and may have damaged the merchandise in the shipment. (It is urgent that this is done right away or a refund/reshipment may not be possible)

Next, notify our company, 317-356-6284, that the package was received in a damaged condition and we will give you instructions on how to receive a replacement shipment and how to ship back the damaged items.

 

 

 

Ordering

All orders are processed through a Secure Server.   

We accept MasterCard or Visa. We do not keep these on file. You may also call in your order to 317-356-6284, or mail or fax your orders to us at 317-356-6680.  

Every order placed will be assigned a tracking number.  Once the item is prepared for shipping, customers will receive an email with the tracking number so they will be able to track their package.  

Most orders should reach you within 10 business days (exceptions: holidays, weekends, and tournament season). If you have a more urgent need, we offer a variety of shipping options by calling us directly. We do ship internationally. Please call us for an international shipping estimate. 

There is NO TAX charged on any of our items since the Pentathlon Institute is a Not-for-Profit Educational Organization.
